Business team roles and permissions
In shortEvery team member gets one of four roles: Admin has full control, View only can look but not act, Initiate can set up a payment but not release it, and Approve can release what someone else set up. Split Initiate and Approve across two people and no payment ever leaves on one person's say-so.
Here are the four roles, plainly:
| Role | What they can do |
|---|---|
| Admin | Everything. Full control of the account. |
| View only | See balances and activity. Can't move anything. |
| Initiate a transaction | Set up and submit a payment. Can't release it alone. |
| Approve a transaction | Release a payment someone else initiated. |
The smart move for most companies: give one person Initiate and a different person Approve. That way, every payment needs two people, the one who sets it up and the one who signs it off. Nothing leaves the account on a single person's click, whether that's a mistake or something worse. Bookkeepers and accountants usually get View only: everything visible, nothing touchable.
Admins assign and change roles anytime, so the setup grows with the team.
